1. After filling in the appropriate template from the Procurement intranet page (based on your Procurement determination) with all relevant information, and after confirming that your vendor agrees to the template, please upload your draft contract in Word format to the Jotform Link, along with any exhibits/attachments.
- a. If your vendor refuses to use a City template, please submit their proposed contract form for review before negotiating.
- b. Jotform is for initial submissions only. You will be contacted via email if revisions are required, and any revisions you send back can be sent in response to that email.
- c. For amendments, please also upload the original contract and all prior amendments. If the packet is too big to upload, you can email the original to mrharding@santafenm.gov. Please be sure to include the correct signatory for your vendor in the Jotform submission, along with an email address. Incorrect signatory names or typos in an email address can hold up the routing process.
2. Once approved by our office and the vendor, we will route for signature, first to the vendor, then to our attorney. You and anyone else you designate in Jotform will be copied on the routing. Please note that contracts with governmental entities will only be routed to the attorney. After you receive the contract signed by the attorney and the vendor, please include it in your packet to submit to Procurement via the Procurement Request Portal.

Office of Records Custodians
The Office of Records Custodians is responsible for receiving and responding to all requests for public record from the City of Santa Fe. The office works in collaboration with other City actors to collect, review, and produce records in response to a public records request in accordance with statutory deadlines.What is IPRA
IPRA
The Inspection of Public Records Act allows every person the right to inspect public records, with some exceptions.
Some records may be subject to redactions or may be exempt from inspection based on exemptions within the IPRA statute and/or other laws.
The City-designated Records Custodians are responsible for producing responsive material “immediately or as soon as practicable… but not later than fifteen days” from the date the original request is received – or as soon as reasonably possible if a request is deemed overly broad or burdensome.
